Information we collect

When you contact us, request a quote or use the website chat, we may collect your name, phone number, email address, postcode, property type, whether you are a homeowner, landlord or tenant, preferred contact time, job or fault details, urgency, photographs you choose to provide, and the content of your enquiry.

The website and its service providers may also collect technical information such as your IP address, approximate location, browser, device, pages visited, dates, times, referring website and cookie or similar-technology identifiers.

Please do not send payment-card details, passwords, identity documents or sensitive personal information through the chatbot or website forms.

How and why we use your information

We use personal information to respond to enquiries, assess requested work, prepare quotations, arrange and deliver electrical services, keep customer and safety records, manage complaints, protect our website, meet legal and accounting duties, and understand how the website is used.

Our lawful bases are: taking steps at your request before entering a contract and performing a contract; our legitimate interests in operating, securing and improving the business and responding to enquiries; compliance with legal obligations; and consent where required, including for non-essential cookies or optional marketing. You may withdraw consent at any time. We do not sell personal information.

AI chat and live chat

Our website chat service is supplied by tawk.to. “Hollie” is an AI enquiry assistant, not a qualified electrician and not a human. It can answer approved questions and collect enquiry details for our team. It must not diagnose faults, give DIY electrical instructions, confirm prices or guarantee attendance. A member of our team reviews enquiries and makes all booking, quotation and service decisions.

The chat consent screen asks for permission before a conversation starts and links to this policy. Chat data may include contact details, job information, chat content, technical data and uploaded files. For tawk.to’s own information, see www.tawk.to/privacy-policy/.

Cookies and analytics

This website uses Google Analytics and Google Tag Manager to measure visits and manage website tags. Google may receive technical and usage information and may use cookies or similar technologies. The tawk.to chat widget may also use cookies or local storage when you choose to use it.

You can block or delete cookies using your browser settings. Blocking some storage may affect chat or website functions. Google also provides an Analytics opt-out browser add-on at tools.google.com/dlpage/gaoptout.

Who we share information with

We share information only where necessary with service providers working for us, including our website and hosting providers, Microsoft 365 for business email, tawk.to for chat, Google for analytics and tag management, and professional advisers, insurers, regulators, law-enforcement bodies or electrical subcontractors where legitimately required. Providers must protect information and use it only for authorised purposes.

International transfers

Some providers may process information outside the United Kingdom. Where required, transfers are protected by UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, the UK International Data Transfer Agreement or Addendum, or other legally recognised safeguards.

How long we keep information

We keep information only for as long as needed for the purpose collected. Enquiries that do not become jobs are normally kept for up to 24 months. Customer, quotation, job, safety, warranty, invoice and accounting records may normally be kept for up to seven years after the relationship ends, or longer where required for a legal claim, warranty, insurance or regulatory obligation. Chat and analytics information is retained according to our settings and the relevant provider’s retention controls.

Your rights

Depending on the circumstances, you may ask us to access, correct, erase or restrict your personal information, object to its use, receive a portable copy, or withdraw consent. These rights are not absolute and legal record-keeping duties may apply.

To exercise a right, contact info@coatesandhollandelectricalcontractors.co.uk. We may need to verify your identity. You may complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/.

Security

We use reasonable organisational and technical safeguards. No internet service is completely secure, so please use the contact form and chatbot only for appropriate enquiry information.

Changes

We may update this policy when our services, providers or legal obligations change. The latest version and update date will appear on this page.
